Job Description
PCL Constructors Inc. is seeking a diligent and highly organized Project Tracking Aide to join our dynamic team in Toronto. As a Project Tracking Aide, you will play a crucial support role in ensuring the smooth and efficient progression of various construction projects. You will be responsible for meticulously tracking project milestones, deadlines, resources, and budgets, assisting Project Managers and Coordinators with administrative tasks, data entry, and report generation. Your keen eye for detail will be essential in maintaining accurate project documentation and flagging potential issues. This position requires someone who thrives in a fast-paced environment, can manage multiple tasks simultaneously, and possesses excellent communication skills to interact with various stakeholders. Key Responsibilities
- Assist Project Managers and Coordinators in monitoring project schedules, budgets, and resource allocation.
- Maintain and update project tracking systems and databases with accurate and current information.
- Prepare and distribute regular project status reports, summaries, and presentations.
- Track project deliverables, action items, and follow up with team members to ensure timely completion.
- Organize and manage project documentation, ensuring all files are accessible and properly categorized.
- Schedule meetings, prepare agendas, and record minutes for project-related discussions.
- Conduct data entry, analysis, and verification to support project reporting and decision-making.
- Liaise with internal departments and external partners to gather necessary project information.
- Identify potential project delays or issues and escalate them appropriately to the project team.
- Assist with other administrative duties as required to support project operations.
Required Skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Strong organizational and time management skills with an ability to multitask
- Excellent written and verbal communication skills
- High attention to detail and accuracy in data entry and reporting
- Ability to work independently and as part of a team
- Basic understanding of project management principles
- Problem-solving aptitude and a proactive approach to work
Preferred Qualifications
- Previous experience in a project support, administrative, or data entry role (preferably in construction or engineering)
- Familiarity with project management software (e.g., Primavera P6, Microsoft Project, Aconex)
- Post-secondary education in business administration, project management, or a related field
- Experience working with flexible schedules or hybrid work models
- Knowledge of construction industry terminology and processes
