Job Description
Qualico Communities is seeking a highly organized and detail-oriented Project Tracking Coordinator to join our dynamic team in the Calgary region, supporting our developments including the beautiful Sunset Ridge community. In this crucial role, you will be instrumental in ensuring the smooth progression and timely completion of our various community development projects. You will be responsible for meticulously tracking project milestones, schedules, and deliverables, providing vital support to project managers and the broader development team. This position requires a proactive individual with exceptional communication skills, a keen eye for detail, and a strong ability to manage data and generate insightful reports. You will be the central point for project information, working across departments to gather updates, identify potential roadblocks, and ensure all stakeholders are aligned. Key Responsibilities
- Develop, maintain, and update comprehensive project schedules, tracking key milestones and dependencies across multiple projects.
- Monitor project progress against established timelines, identifying potential delays and escalating issues to Project Managers.
- Compile and distribute regular project status reports, including progress summaries, risk assessments, and resource utilization.
- Coordinate with various internal departments (e.g., engineering, sales, marketing, land development) and external contractors to gather project updates and information.
- Maintain accurate and up-to-date project documentation, ensuring all records are organized and easily accessible.
- Assist in the preparation of project plans, presentations, and other communication materials for internal and external stakeholders.
- Facilitate project meetings, document minutes, and track action items to ensure timely completion.
- Implement and refine project tracking tools and methodologies to enhance efficiency and accuracy.
- Support Project Managers in budget tracking, change order management, and forecasting as required.
- Conduct data analysis to identify trends, performance metrics, and areas for improvement within project workflows.
Required Skills
- Minimum 3 years of experience in a project coordination, project tracking, or similar administrative role.
- Proficiency in Microsoft Office Suite, especially Excel (advanced functions), Word, and PowerPoint.
- Demonstrated experience with project management software (e.g., Microsoft Project, Asana, Trello, or similar).
- Exceptional organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
- Strong verbal and written communication skills for interacting with diverse stakeholders.
- Acute attention to detail and a commitment to accuracy in data management and reporting.
- Ability to work independently as well as collaboratively within a team environment.
- Problem-solving aptitude with a proactive approach to identifying and addressing issues.
Preferred Qualifications
- Post-secondary education in Business Administration, Project Management, or a related field.
- Experience in the residential development, construction, or real estate industry.
- Familiarity with the Calgary/Cochrane market and community development processes.
- PMP or CAPM certification, or working towards one.
- Experience with CRM systems and/or enterprise resource planning (ERP) software.
