Key Responsibilities

  • Coordinate and oversee all property maintenance activities, including preventative maintenance, repairs, and minor renovations.
  • Act as the primary point of contact for tenants regarding facility requests, concerns, and emergencies, ensuring timely and effective resolution.
  • Manage relationships with external vendors, contractors, and service providers, including vetting, contract negotiation, and performance monitoring.
  • Develop and maintain comprehensive maintenance schedules and logs for all properties.
  • Conduct regular property inspections to identify maintenance needs, safety hazards, and ensure compliance with building codes and standards.
  • Assist in the preparation and management of facility budgets, tracking expenses and identifying cost-saving opportunities.
  • Ensure all facility operations adhere to relevant health, safety, and environmental regulations.
  • Process invoices, work orders, and other administrative tasks related to facility management.

Required Skills

  • Proven experience in property management, facilities coordination, or a related field.
  • Strong organizational and multitasking abilities, with excellent attention to detail.
  • Proficiency in facility management software and Microsoft Office Suite.
  • Exceptional communication and interpersonal skills, capable of interacting effectively with diverse stakeholders.
  • Demonstrated problem-solving capabilities and ability to handle emergency situations calmly.
  • Knowledge of building systems (HVAC, electrical, plumbing) and general maintenance procedures.

Preferred Qualifications

  • A degree or certification in Facilities Management, Property Management, or a related discipline.
  • Experience with German building regulations and safety standards (e.g., DIN standards).
  • Fluency in German (C1 level or higher) and English.
  • Experience managing budgets and financial reporting for facilities.
