Key Responsibilities

  • Provide comprehensive administrative support to Property Managers, including scheduling appointments, preparing correspondence, and maintaining organized filing systems for property documents.
  • Assist with tenant inquiries, concerns, and requests, ensuring timely, professional, and courteous resolution to foster positive tenant relations.
  • Coordinate effectively with various vendors and contractors for property maintenance and repairs, including obtaining competitive quotes and scheduling services.
  • Process invoices, assist in rent collection, and perform basic bookkeeping tasks under the supervision of the finance or property management team.
  • Conduct routine property inspections, document findings, and follow up on maintenance requests to ensure property standards are met.
  • Prepare and accurately distribute notices, communiques, and other essential tenant-related documents in a timely manner.
  • Maintain precise and up-to-date property records, databases, and digital files.
  • Assist in the preparation and review of lease agreements, renewals, and other contractual documents.
  • Support marketing efforts for vacant units, including updating property listings, coordinating showings for prospective tenants, and preparing promotional materials.
  • Handle incoming calls and emails professionally, directing them to the appropriate personnel and ensuring no query goes unanswered.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for daily administrative tasks.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Strong verbal and written communication abilities, crucial for client and vendor interactions.
  • Demonstrated ability to multitask and manage various responsibilities efficiently in a dynamic environment.
  • Impeccable attention to detail and a high level of accuracy in all tasks.

  • Familiarity with property management software (e.g., AppFolio, Buildium, Yardi) is a plus.
  • Basic knowledge of local real estate laws, regulations, and market trends in Jamaica.
  • Ability to work effectively both independently and collaboratively as part of a team.
