You will work closely with experienced Property Managers, assisting with a wide range of tasks that touch every aspect of property oversight. This position offers a foundational understanding of the real estate sector, including tenant relations, administrative support, vendor coordination, and basic financial management. Key Responsibilities

  • Assist property managers with daily operational tasks, including tenant move-ins and move-outs.
  • Handle tenant inquiries, concerns, and maintenance requests promptly and professionally, ensuring high levels of resident satisfaction.
  • Coordinate and schedule maintenance and repairs with approved vendors, tracking progress and ensuring timely completion.
  • Prepare, review, and process lease agreements, renewals, and other legal documents, ensuring accuracy and compliance.
  • Maintain accurate and up-to-date property records, tenant files, and databases.
  • Conduct regular property inspections to identify maintenance needs, ensure safety, and uphold property standards.
  • Assist with rent collection efforts, follow-up on arrears, and prepare related financial reports.
  • Support marketing efforts for vacant units, including showing properties to prospective tenants and processing applications.
  • Ensure strict compliance with all relevant property management regulations and landlord-tenant laws in Ontario.
  • Perform general administrative duties such as data entry, filing, correspondence, and scheduling appointments.

Required Skills

  • Excellent verbal and written communication and interpersonal skills.
  • Strong organizational abilities and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to learn new software systems quickly and adapt to evolving processes.
  • Customer service-oriented mindset with a positive and helpful attitude.
  • Demonstrated problem-solving aptitude and ability to manage multiple tasks.
  • High school diploma or equivalent.

Preferred Qualifications

  • Post-secondary education in Business Administration, Real Estate, or a related field.
  • Previous administrative or customer service experience (even if not property-related).
  • Familiarity with property management software (e.g., Yardi, Buildium, AppFolio) is an asset.
  • Basic understanding of landlord-tenant laws and regulations in Ontario.
