Key Responsibilities

  • Warmly greet and welcome patients and visitors, directing them appropriately.
  • Answer, screen, and forward incoming phone calls in a professional and timely manner.
  • Schedule and confirm patient appointments, managing the appointment book efficiently.
  • Register new patients and update existing patient information accurately.
  • Handle patient inquiries and provide general information about hospital services.
  • Maintain cleanliness and organization of the reception area.
  • Manage incoming and outgoing mail and deliveries.
  • Process patient paperwork and maintain confidential records.
  • Assist with basic administrative tasks such as filing, scanning, and data entry.
  • Liaise with other departments to ensure smooth patient flow and operational efficiency.
  • Manage patient waiting times and provide comfort or updates as needed.
  • Operate standard office equipment, including computers, printers, and multi-line phone systems.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or similar role (minimum 2 years).
  • Excellent verbal and written communication skills in English and Kiswahili.
  • Strong customer service orientation with a pleasant and professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
