Job Description

Career.zycto is seeking a highly motivated and customer-focused Reception Clerk to join our esteemed hospitality team in Meru County, Kenya. This pivotal role is the first point of contact for our guests, demanding a friendly demeanor, exceptional organizational skills, and a genuine passion for service. As a Reception Clerk, you will be instrumental in ensuring a smooth and pleasant experience for all visitors, from their arrival to their departure. You will manage a variety of front-desk operations, including check-ins, check-outs, handling reservations, and providing comprehensive information about our services and local attractions. Key Responsibilities

  • Warmly welcome and register guests upon arrival, ensuring a smooth check-in process.
  • Efficiently manage guest check-outs, process payments, and provide accurate invoices.
  • Handle all incoming calls, emails, and walk-in inquiries with professionalism and courtesy.
  • Manage reservations, including making, modifying, and canceling bookings, and ensuring accurate room allocations.
  • Provide comprehensive information about our facilities, services, and local points of interest.
  • Maintain an organized and tidy front desk area, ensuring all necessary supplies are stocked.
  • Address guest complaints and concerns promptly and effectively, escalating issues when necessary to ensure guest satisfaction.
  • Collaborate closely with housekeeping, maintenance, and other departments to ensure seamless service delivery.
  • Process and log wake-up calls, mail, messages, and package deliveries for guests.
  • Adhere to all safety and security procedures, including maintaining guest privacy and confidentiality.

Required Skills

  • Minimum of 1 year of experience in a front desk or customer service role, preferably within the hospitality industry.
  • Excellent verbal and written communication skills in English and Swahili.
  • Proficiency in using hotel management software (e.g., Opera, Fidelio) and Microsoft Office Suite.
  • Strong interpersonal skills with a friendly and approachable demeanor.
  • Exceptional organizational and multitasking abilities.
  • Ability to remain calm and professional under pressure.
  • High level of integrity and attention to detail.
  • Demonstrated problem-solving skills and a proactive attitude.

Preferred Qualifications

  • Diploma or Certificate in Hospitality Management, Tourism, or a related field.
  • Previous experience in a 3-star or higher hotel environment.
  • Knowledge of an additional local language or international language.
  • Experience with point-of-sale (POS) systems.
