Key Responsibilities

  • Warmly greet and welcome all visitors, clients, and employees with a professional and friendly demeanor.
  • Manage incoming calls on a multi-line phone system, directing them efficiently to the appropriate departments or individuals.
  • Maintain a pristine, organized, and presentable reception area at all times, ensuring a positive first impression.
  • Process incoming and outgoing mail, packages, and deliveries, ensuring accurate distribution and dispatch.
  • Assist with scheduling meetings, managing conference room bookings, and preparing meeting spaces.
  • Provide comprehensive administrative support to various departments as needed, including data entry, document preparation, and file management.
  • Manage visitor registration, issue temporary passes, and strictly adhere to all security protocols.
  • Coordinate with internal teams, including facilities and IT, to ensure smooth office operations and resolve any immediate issues.
  • Assist in the onboarding process for new employees by preparing welcome packets, access cards, and guiding them through initial office procedures.
  • Monitor and maintain supply inventory for the front office, coordinating orders to ensure adequate stock levels.
  • Handle sensitive information and confidential documents with the highest level of discretion and integrity.

Required Skills

  • Experience with multi-line phone systems and modern office management software (e.g., visitor management systems).
  • Fluency in a second language (e.g., Spanish) to better serve our diverse client base.
  • Familiarity with virtual meeting platforms such as Zoom or Microsoft Teams.
