Key Responsibilities

  • Greet and welcome guests and clients in a professional and friendly manner, directing them to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Manage and distribute incoming and outgoing mail, packages, and deliveries.
  • Maintain the reception area, ensuring it is tidy, presentable, and well-stocked with necessary materials.
  • Schedule and confirm appointments, meetings, and conference room bookings.
  • Assist with various administrative tasks, including data entry, filing, scanning, and photocopying.
  • Order and maintain office supplies, ensuring adequate stock levels and liaising with vendors.
  • Support the coordination of office events, internal meetings, and staff gatherings.
  • Provide general administrative support to various departments as needed.
  • Handle inquiries and provide basic information about the company and its services.
  • Operate standard office equipment, including multi-line phone systems, computers, and printers.

Required Skills

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills in English.
  • Professional attitude and appearance.
  • Ability to be resourceful and proactive when dealing with issues.
  • Strong organizational and time management skills.
  • Exceptional customer service abilities with a friendly and approachable demeanor.
  • Ability to multi-task and prioritize tasks effectively in a dynamic environment.

Preferred Qualifications

  • A diploma or degree in Business Administration, Office Management, or a related field.

  • Familiarity with local Mountain View, Nairobi area and cultural nuances.
  • Ability to speak an additional local language (e.g., Swahili).
