Key Responsibilities
- Warmly greet and welcome all clients and visitors to the corporate office, creating a positive first impression.
- Manage a multi-line phone system, directing calls to the appropriate personnel and taking accurate messages.
- Maintain a tidy, organized, and professional reception area, ensuring all necessary supplies and literature are stocked.
- Receive, sort, and distribute daily mail, deliveries, and courier packages promptly and efficiently.
- Assist with scheduling appointments and managing meeting room bookings using various office tools.
- Provide comprehensive administrative support to various departments, including data entry, filing, photocopying, and scanning.
- Handle client inquiries with utmost professionalism and discretion, escalating complex issues to relevant staff as needed.
- Adhere strictly to all company policies, security procedures, and confidentiality guidelines.
- Maintain an accurate and updated log of visitors and outgoing packages for security and tracking purposes.
- Monitor and order office supplies, maintaining an inventory of stock to ensure seamless operations.
