Job Description

Key Responsibilities

  • Warmly greet and welcome all visitors, clients, and candidates, ensuring a positive first impression.
  • Manage a multi-line phone system, directing calls efficiently and taking accurate messages.
  • Oversee and maintain the reception area, ensuring it is tidy, presentable, and well-stocked with necessary materials.
  • Schedule and coordinate appointments, meetings, and interviews using calendar management software.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist with general administrative tasks, including data entry, filing, scanning, and photocopying.
  • Prepare meeting rooms, ensuring they are set up with appropriate equipment and refreshments.
  • Maintain office supplies inventory and place orders as needed.
  • Act as a point of contact for internal staff queries regarding office operations.
  • Support event coordination and company gatherings as required.
  • Handle sensitive information with the utmost discretion and confidentiality.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Professional appearance and demeanor.
  • Ability to be resourceful and proactive when issues arise.
