Job Description

Cim Finance, a leading non-banking financial institution in Mauritius, is seeking a highly professional, proactive, and welcoming Receptionist to join our dedicated team at our bustling Curepipe branch. This pivotal role serves as the very first point of contact for our valued clients, partners, visitors, and internal stakeholders, making you the crucial brand ambassador for Cim Finance. Your primary responsibility will be to create an inviting and efficient atmosphere, ensuring all individuals who interact with us, whether in person or over the phone, feel valued, heard, and efficiently attended to from the moment they step through our doors or contact our office. Key Responsibilities

  • Warmly greet and welcome all visitors, clients, and staff to the Curepipe office, ensuring a positive first impression and directing them to the appropriate person or department.
  • Operate a multi-line telephone system, answering incoming calls promptly, screening, forwarding, and taking accurate messages as required.
  • Manage all incoming and outgoing mail, packages, and deliveries efficiently, ensuring proper record-keeping and distribution.
  • Maintain a tidy, organized, and professional reception area at all times, reflecting the company's high standards.
  • Schedule and coordinate appointments, meetings, and conference room bookings for various departments and executives.
  • Provide comprehensive basic administrative support, including accurate data entry, filing, scanning, photocopying, and document organization.
  • Assist with the preparation and formatting of various documents, reports, and presentations as needed by staff.
  • Monitor and maintain adequate inventory of office supplies, initiating orders when necessary to ensure smooth operations.
  • Act as a primary point of contact for internal and external queries, providing accurate information or effectively redirecting inquiries.
  • Ensure strict adherence to company security procedures by monitoring visitor access, issuing temporary badges, and maintaining visitor logs.
  • Collaborate effectively with other administrative staff and departments to ensure seamless office operations and cross-functional support.
  • Handle sensitive information and confidential documents with the utmost discretion and professionalism.
  • Undertake ad-hoc projects and tasks as assigned by management to support the overall efficiency of the office.
  • Assist in organizing company events or staff gatherings held at the branch.

Required Skills

  • Proven experience (minimum 1.5 years) in a reception, front desk, or customer service role.
  • Exceptional verbal and written communication skills in both English and French; Mauritian Creole is a significant advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
  • Strong organizational skills with an excellent ability to manage time, prioritize tasks, and multi-task effectively.
  • A professional and polished demeanor with a friendly, approachable, and service-oriented attitude.
  • Demonstrated ability to remain calm and efficient in a fast-paced and demanding environment.
  • High level of attention to detail and accuracy in all administrative tasks.
