Key Responsibilities

  • Greet and welcome visitors with a warm, professional, and courteous demeanor, directing them to the appropriate person or department.
  • Manage incoming calls, screening and forwarding them appropriately, and taking detailed messages when necessary.
  • Maintain a tidy, organized, and presentable reception area at all times.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Provide administrative support to various departments, including data entry, filing, scanning, and preparing documents.
  • Assist with basic office supply inventory management and ordering.
  • Act as the primary point of contact for general inquiries, providing accurate information about the company.
  • Ensure security protocols are followed by monitoring visitor access and issuing visitor badges.
  • Assist with event coordination and special projects as needed.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills in English and Kinyarwanda.
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Exceptional interpersonal skills and a customer-centric attitude.
  • Ability to be resourceful and proactive when dealing with issues.
  • Professional appearance and demeanor.

Preferred Qualifications

  • Diploma or Certificate in Office Administration, Secretarial Studies, or a related field.
  • Familiarity with office equipment (e.g., fax machines, printers, scanners).
  • Experience with basic accounting or invoicing software.
  • Additional language proficiency (e.g., French, Swahili).
