Key Responsibilities
- Warmly greet and welcome patients and visitors to the clinic, ensuring a positive first impression.
- Manage patient check-ins and check-outs efficiently, including verifying patient information and insurance details.
- Schedule and confirm patient appointments, managing the clinic's appointment book accurately.
- Answer incoming calls professionally, direct inquiries appropriately, and take accurate messages.
- Maintain organized and confidential patient records, both electronic and physical, ensuring data accuracy.
- Process patient payments, issue receipts, and manage petty cash if required.
- Liaise with medical staff to ensure smooth patient flow and address any scheduling conflicts.
- Handle patient inquiries and provide basic information regarding clinic services, policies, and procedures.
- Manage incoming and outgoing mail, faxes, and emails.
- Ensure the reception area remains tidy, welcoming, and well-stocked with necessary forms and brochures.
- Assist with other administrative tasks as needed to support the clinic's operations.
Required Skills
- Minimum of a Certificate or Diploma in Business Administration, Office Management, or a related field.
- At least 1 year of proven experience as a Receptionist, preferably in a medical or healthcare setting.
- Excellent verbal and written communication skills in English and Swahili.
- Proficiency in using office software (MS Office Suite – Word, Excel, Outlook).
- Exceptional organizational and multitasking abilities.
- Strong interpersonal skills with a patient-centered approach.
- Ability to handle sensitive information with strict confidentiality and discretion.
Preferred Qualifications
- Experience with Electronic Health Records (EHR) systems.
