Key Responsibilities
- Greet and welcome visitors with a professional and friendly attitude, directing them to the appropriate person or department.
- Answer, screen, and forward incoming phone calls, taking messages accurately and promptly.
- Manage and maintain the reception area, ensuring it is tidy, presentable, and equipped with necessary materials (e.g., pens, forms, brochures).
- Receive, sort, and distribute daily mail, deliveries, and couriers.
- Provide basic and accurate information in-person and via phone/email.
- Assist with scheduling appointments and managing meeting room bookings.
- Perform general administrative duties such as filing, scanning, photocopying, and data entry.
- Support various departments with ad-hoc administrative tasks as required.
- Monitor and order office supplies for the reception area and general office use.
- Maintain security by following procedures, monitoring logbook, and issuing visitor badges.
Required Skills
- Excellent verbal and written communication skills in English and Kiswahili.
- Strong interpersonal skills with a welcoming and friendly disposition.
- Exceptional organizational and time management abilities.
- High level of professionalism and a proactive work ethic.
- Proficiency in basic computer applications (e.g., Microsoft Office Suite – Word, Excel, Outlook).
