Key Responsibilities

  • Coordinate and schedule high-volume interviews (phone, virtual, in-person) between candidates and hiring managers across various time zones.
  • Manage and maintain complex calendars for recruiters and interviewers, ensuring all appointments are confirmed and conflicts are resolved promptly.
  • Serve as the primary point of contact for candidates regarding interview logistics, providing clear instructions and a positive experience.
  • Prepare and send interview confirmations, calendar invitations, and relevant materials to candidates and internal stakeholders.
  • Handle rescheduling requests professionally and efficiently, minimizing disruption to the hiring process.
  • Provide administrative support to the recruitment team, including data entry, updating applicant tracking systems (ATS), and generating reports.
  • Assist with onboarding preparation tasks as needed, ensuring a smooth transition for new hires.
  • Maintain confidentiality of sensitive candidate and company information.
  • Contribute to continuous improvement initiatives for the scheduling process.

Required Skills

  • Exceptional organizational and time management abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Google Suite (Gmail, Calendar, Docs, Sheets) or Microsoft Office Suite.
  • High level of attention to detail and accuracy.
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Proactive, self-motivated, and able to work independently as well as part of a team.
  • A positive attitude and a strong desire to learn and grow.
  • High school diploma or equivalent.

Preferred Qualifications

  • Some experience in customer service, administration, or office support roles (can be volunteer or part-time).
  • Familiarity with Applicant Tracking Systems (ATS) is a plus but not required.
  • Post-secondary education (diploma or degree) in a related field (e.g., Business Administration, Human Resources).
