Career.zycto is seeking a highly organized and detail-oriented Remote Calendar Coordinator to join our growing team. In this fully remote role, you will be the linchpin in ensuring our internal teams and external clients maintain seamless schedules, enabling optimal productivity and timely execution of projects and meetings. As a Remote Calendar Coordinator, you will be responsible for the end-to-end management of various calendars, including scheduling, rescheduling, and sending out comprehensive meeting invitations. You will act as a primary point of contact for scheduling inquiries, resolving conflicts efficiently, and ensuring all stakeholders are well-informed. Your expertise will be crucial in coordinating virtual meetings, webinars, and other events, providing technical support as needed to ensure smooth execution. Key Responsibilities

  • Schedule and coordinate virtual meetings, appointments, and events across various time zones using platforms like Google Meet, Zoom, or Microsoft Teams.
  • Prepare and distribute meeting agendas, materials, and follow-up communications as required.
  • Act as a central point of contact for all scheduling inquiries, demonstrating excellent customer service.
  • Anticipate scheduling needs and proactively propose solutions to optimize time management and efficiency.
  • Maintain confidentiality of sensitive information and exercise discretion in all communications.
  • Assist with light administrative tasks related to meeting preparation and follow-up.
  • Contribute to the continuous improvement of scheduling processes and tools.

Required Skills

  • 2+ years of experience in a calendar coordination or administrative support role.
  • Proficiency with calendar management software (e.g., Google Calendar, Outlook Calendar).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • High level of proficiency with virtual meeting platforms (Zoom, Google Meet, Microsoft Teams).
