Key Responsibilities

  • Manage patient schedules, appointments, and recalls efficiently using dental practice management software.
  • Handle inbound and outbound patient calls with professionalism, answering inquiries, and providing exceptional customer service.
  • Verify dental insurance benefits, submit pre-authorizations, and assist patients with understanding their coverage and financial options.
  • Process and manage patient records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.
  • Prepare and send patient new patient forms, consent forms, and other necessary documentation electronically.
  • Assist with billing inquiries, payment processing, and overdue account follow-ups.
  • Coordinate with dental office staff on various administrative tasks, ensuring seamless communication and workflow.
  • Provide general administrative support, including email management, data entry, and report generation.
  • Troubleshoot minor patient-related technical issues for virtual consultations or form submissions.
  • Maintain a professional and organized home office environment conducive to remote work.

Required Skills

  • Minimum of 2 years of experience as a Dental Office Assistant or in a similar administrative role within a dental setting.
  • Proficiency with dental practice management software (e.g., Dentrix, Open Dental, Eaglesoft).
  • Strong understanding of dental insurance processes, coding (CDT), and verification procedures.
  • Excellent verbal and written communication skills with a professional and empathetic phone demeanor.
  • Exceptional organizational skills and attention to detail, capable of managing multiple tasks simultaneously.
  • Reliable high-speed internet connection and a dedicated, quiet home office space.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
  • Ability to maintain strict patient confidentiality (HIPAA compliance).
  • Self-motivated and able to work independently with minimal supervision.

Preferred Qualifications

  • Certificate or Associate’s degree in Dental Assisting or Office Administration.
  • Experience with teledentistry platforms or virtual patient engagement tools.
  • Familiarity with Aspen Dental specific protocols and patient care philosophy.
  • Bilingual proficiency (English/Spanish) is a plus.
