Key Responsibilities

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
  • Coordinate virtual meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Serve as a primary point of contact, screening and prioritizing communications (emails, calls) and handling inquiries with professionalism and discretion.
  • Organize and maintain digital files and records, ensuring easy accessibility and compliance with company protocols.
  • Assist with special projects, research tasks, and data compilation as requested, demonstrating initiative and problem-solving skills.
  • Process expense reports and invoices, reconcile credit card statements, and manage basic bookkeeping tasks.
  • Facilitate seamless communication and information flow between executives, internal teams, and external stakeholders.
  • Anticipate executive needs and proactively address potential issues, ensuring executives are well-prepared for all engagements.

Required Skills

  • Proven experience (4+ years) as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives or senior management, preferably in a remote capacity.
  • Exceptional proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated expertise with virtual communication and collaboration tools (e.g., Zoom, Slack, Microsoft Teams).
  • Outstanding written and verbal communication skills, with a keen eye for grammar, spelling, and professional etiquette.
  • Superior organizational and time-management abilities, capable of juggling multiple priorities and meeting tight deadlines.
  • High level of discretion and confidentiality in handling sensitive information.
