Key Responsibilities

  • Manage and maintain complex calendars for multiple executives and teams, scheduling meetings, appointments, and conferences efficiently.
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and detailed itineraries.
  • Proactively identify and resolve scheduling conflicts, offering timely solutions and communicating changes to relevant parties.
  • Prepare meeting materials, agendas, and presentations, ensuring all necessary documents are available prior to scheduled events.
  • Act as a primary point of contact for scheduling inquiries, demonstrating professionalism and excellent communication skills.
  • Assist with special projects and administrative tasks as needed, contributing to the overall efficiency of the team.
  • Utilize various scheduling software and virtual collaboration tools to streamline processes.
  • Maintain confidentiality and exercise discretion in all communications and tasks.

Required Skills

  • Minimum of 2 years of experience in an administrative support or scheduling role.
  • Proven ability to manage multiple calendars and complex schedules effectively.
  • Exceptional organizational and time management skills with a strong attention to detail.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) or Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines in a remote environment.
