Job Description

Career.zycto is excited to be seeking a highly organised and detail-oriented Remote Virtual Event Assistant to join our growing team. This flexible, part-time role offers an incredible opportunity to contribute to the seamless execution of a variety of online events, from webinars and workshops to conferences and networking sessions. As a Virtual Event Assistant, you will play a crucial role in ensuring that our clients’ online events run smoothly, providing essential support before, during, and after each occasion. You’ll be a vital part of a remote-first team, working independently while remaining connected through modern communication tools.

This position requires someone who is proactive, has exceptional communication skills, and possesses a strong understanding of various virtual event platforms. You will be responsible for managing attendee registrations, preparing event materials, providing technical assistance to presenters and participants, and compiling post-event reports. The ideal candidate will be adept at problem-solving on the fly, capable of multitasking in a fast-paced virtual environment, and dedicated to delivering a polished, professional event experience every time. Key Responsibilities

  • Assist with the planning, coordination, and execution of virtual events (webinars, workshops, conferences, etc.).
  • Manage attendee registration processes, including sending confirmations and pre-event communications.
  • Prepare and organise event materials, presentations, and digital assets.
  • Provide technical support and troubleshooting for virtual event platforms (e.g., Zoom, Microsoft Teams, Hopin) to presenters and attendees.
  • Monitor live event sessions, manage Q&A, polls, and chat functions.
  • Coordinate with speakers, presenters, and internal teams to ensure timely delivery of content.
  • Assist with post-event tasks, including attendee follow-ups, survey distribution, and data compilation.
  • Generate and summarise event reports and analytics to measure success and identify areas for improvement.
  • Maintain a high level of professionalism and responsiveness in all communications.

Required Skills

  • Minimum of 1 year of experience in event coordination, virtual assistance, or a related administrative role.
  • Proficiency with virtual event platforms (e.g., Zoom Webinar/Meetings, Microsoft Teams, Google Meet, Hopin).
  • Excellent written and verbal communication skills.
  • Strong organisational skills and meticulous attention to detail.
  • Ability to multitask and prioritise in a dynamic, remote work environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Reliable internet connection and a dedicated home office setup.

Preferred Qualifications

  • Experience with CRM software (e.g., HubSpot, Salesforce).
  • Familiarity with marketing automation tools for event promotion.
  • Prior experience working in a fully remote or hybrid team setting.
