Key Responsibilities
- Manage and maintain executive calendars, scheduling virtual meetings, appointments, and travel arrangements as needed.
- Organize and maintain digital filing systems, ensuring accessibility, security, and compliance with company policies.
- Coordinate and facilitate virtual team meetings, including setting agendas, preparing materials, taking minutes, and following up on action items.
- Act as the primary point of contact for remote administrative inquiries, providing prompt and professional support.
- Oversee office supply inventory (virtual and minimal physical needs) and manage vendor relationships for virtual tools and services.
- Assist with onboarding new remote employees, ensuring they have access to necessary tools, resources, and virtual introductions.
- Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to branding guidelines.
- Implement and manage virtual collaboration tools and platforms, providing basic technical support and training to users.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Develop and improve virtual office procedures and policies to enhance efficiency and productivity.
- Assist with budget tracking for administrative expenses and process invoices/expense reports.
Required Skills
- Proven experience as a Virtual Office Manager, Office Manager, or similar administrative role in a remote setting.
- Expert proficiency with virtual collaboration tools (e.g., Microsoft Teams, Zoom, Slack, Asana).
- Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
