Career.zycto is seeking a highly organized, customer-focused, and detail-oriented Reservations Clerk to join our vibrant team in the Kaiserlei District of Offenbach am Main. In this pivotal full-time role, you will be the first point of contact for many of our clients, playing a crucial part in their experience from the very beginning. You will be responsible for managing all aspects of reservations, ensuring accuracy, efficiency, and exceptional service. As a Reservations Clerk, you will be instrumental in maintaining our high standards of operational excellence and client satisfaction. Your daily tasks will involve processing bookings, responding to inquiries via various channels (phone, email, online), and providing comprehensive information about our services. Key Responsibilities

  • Manage and process all reservation requests accurately and efficiently through various communication channels (phone, email, online portals).
  • Provide detailed information regarding services, availability, rates, and special offers to prospective and existing clients.
  • Handle modifications, cancellations, and special requests promptly and professionally, ensuring client satisfaction.
  • Maintain up-to-date knowledge of pricing, promotions, and inventory to provide accurate information and maximize revenue.
  • Collaborate with other departments (e.g., sales, operations) to ensure smooth client experiences and resolve any booking conflicts.
  • Assist in preparing daily, weekly, and monthly reservation reports and forecasts, contributing to strategic planning.
  • Address client inquiries and resolve issues or complaints in a courteous and efficient manner, escalating when necessary.
  • Ensure all client data is entered accurately into the reservation system, adhering strictly to data privacy and GDPR standards.
  • Contribute to a positive team environment and uphold the company's service standards, promoting a culture of excellence.
  • Perform general administrative duties as required to support the reservations department, including filing and record-keeping.

Required Skills

  • Proven experience of at least 2 years as a Reservations Clerk or in a similar customer service role, preferably within hospitality or a related industry.
  • Excellent verbal and written communication skills in English and German are mandatory.
  • Proficiency in reservation software and computer systems (e.g., Property Management Systems, CRM tools).
  • Strong organizational skills and meticulous attention to detail.
  • Ability to multitask and manage time effectively in a busy, dynamic environment.
  • Exceptional interpersonal and problem-solving skills, with a calm and friendly demeanor.
  • Customer-focused with a polite, professional, and empathetic approach to client interactions.

Preferred Qualifications

  • Associate’s degree or relevant certification in Hospitality, Tourism Management, or a related field.
  • Experience with a specific industry-standard reservation system (e.g., Opera PMS, Amadeus, Sabre).
  • Additional language proficiency (e.g., French, Spanish, Italian) is a significant advantage.
  • Familiarity with the local area and key attractions in Offenbach am Main and the wider Frankfurt Rhine-Main region.
