Key Responsibilities

  • Provide comprehensive administrative support to the sales team, including scheduling appointments, preparing impactful sales presentations, and managing internal and external correspondence efficiently.
  • Assist with the accurate and timely processing of sales orders, ensuring all documentation is complete and compliant with company policies.
  • Maintain and update customer relationship management (CRM) systems with precise client information, sales activities, and interaction notes.
  • Prepare regular, insightful sales reports and analyses, compiling data on sales performance, customer trends, and valuable market feedback to aid strategic decisions.
  • Respond promptly and professionally to customer inquiries via phone, email, or in-person, effectively directing complex issues to the appropriate sales representative for resolution.
  • Organize and maintain sales collateral, promotional materials, and product information to ensure easy accessibility and readiness for the sales team's use.
  • Coordinate internal and external meetings, including managing room bookings, preparing agendas, and meticulously taking meeting minutes.
  • Support the onboarding process for new sales staff by preparing necessary documents, resources, and initial training materials.
  • Assist with inventory management related to sales materials and promotional items, ensuring adequate stock levels.
  • Perform general office duties to ensure the sales department operates efficiently and effectively, contributing to a seamless workflow.

Required Skills

  • Excellent verbal and written communication skills in both Portuguese and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for various administrative tasks.
  • Strong organizational and time management abilities, with a meticulous attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively in a fast-paced and dynamic work environment.
  • Proactive and self-motivated with a strong work ethic and a desire to contribute meaningfully.
  • Customer service-oriented mindset and a professional, approachable demeanor.
  • Basic data entry and general administrative experience.
  • Ability to work collaboratively as part of a team while also demonstrating capability to work independently when required.

Preferred Qualifications

  • Previous experience (6-12 months) in a sales support, administrative, or customer service role.
  • Familiarity with CRM software (e.g., Salesforce, Zoho CRM) is a plus.
  • Knowledge of the telecommunications industry or related sectors.
  • Currently enrolled in or possessing a diploma/degree in Business Administration, Marketing, or a related field.
