Key Responsibilities

  • Manage and organize physical and electronic files, ensuring accuracy, confidentiality, and easy accessibility.
  • Handle incoming and outgoing communications, including emails, phone calls, and postal mail, directing them to the appropriate personnel.
  • Assist with student registration, record-keeping, and updating student information systems with precision.
  • Support general office duties such as photocopying, scanning documents, data entry, and preparing correspondence.
  • Greet visitors, students, and parents with a welcoming and professional demeanor, providing assistance or directing inquiries.
  • Maintain inventory of office supplies, anticipate needs, and place orders to ensure smooth operation.
  • Coordinate meeting schedules for staff and faculty, assist with preparing meeting agendas and materials.
  • Assist in the preparation and distribution of school reports, newsletters, and other important documents.
  • Ensure the reception area and general office spaces are tidy, organized, and presentable at all times.
  • Provide administrative support to teachers and school management as required, including scheduling appointments and managing calendars.

Required Skills

  • Excellent verbal and written communication skills in both Portuguese and English.
  • Proficiency in basic computer applications, including Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management abilities, with capacity to prioritize tasks effectively.
  • High level of attention to detail and accuracy in all administrative duties.
