Key Responsibilities

  • Manage and maintain all student records, including admission details, academic performance, attendance, health information, and disciplinary actions, ensuring accuracy and confidentiality.
  • Oversee the administration of staff records, including personnel files, leave requests, professional development, and contractual information.
  • Implement and enforce robust record-keeping policies and procedures in compliance with national educational guidelines and data protection regulations.
  • Generate and distribute official reports, transcripts, certificates, and other necessary documentation for students, staff, and external stakeholders.
  • Handle incoming and outgoing correspondence, emails, and phone calls, directing inquiries appropriately and providing accurate information.
  • Coordinate and schedule meetings, appointments, and school events, managing calendars for key personnel.
  • Provide administrative support to the Head of School, teachers, and other staff members as needed.
  • Manage office supplies, equipment, and general office maintenance to ensure a functional and welcoming environment.
  • Assist with budgeting and financial record-keeping related to administrative operations.
  • Facilitate communication between the school, parents, and the Ministry of Education regarding administrative matters.
  • Utilize school management software and other digital tools for efficient data entry, retrieval, and reporting.

Required Skills

  • Proven experience in an administrative role, preferably within an educational setting.
  • Exceptional organizational and time management skills with a strong ability to multitask.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data management software.
  • Meticulous attention to detail and a commitment to data accuracy and integrity.
  • Excellent written and verbal communication skills in English and French (Creole a plus).
  • Strong interpersonal skills with the ability to interact effectively with students, parents, staff, and external parties.
  • Ability to handle confidential information with discretion and professionalism.

Preferred Qualifications
