Job Description

Rose Hill-Magnolia Elementary School is seeking a meticulous, highly organized, and proactive School Administrator with a strong focus on records management to join our dedicated team. This is a critical role that ensures the smooth and efficient operation of our school’s administrative functions, with a particular emphasis on maintaining accurate, confidential, and up-to-date student records, staff data, and general school documentation. The successful candidate will serve as a cornerstone of our administrative office, responsible for a wide array of tasks that support our faculty, students, and parents.

Your primary duties will encompass managing comprehensive student enrollment and withdrawal processes, ensuring meticulous compliance with all state and federal reporting requirements, handling diverse inquiries from parents, staff, and external stakeholders, and providing exceptional administrative support to the principal, assistant principal, and other school staff. You will be instrumental in implementing, maintaining, and continually improving efficient record-keeping systems, utilizing various school management software platforms, and safeguarding sensitive information in accordance with privacy regulations.

This position demands an individual with exceptional attention to detail, strong analytical capabilities, superior communication skills (both written and verbal), and a proactive, problem-solving approach to challenges, all within a bustling and dynamic educational environment. Key Responsibilities

  • Manage and maintain accurate, confidential student records, including enrollment, attendance, grades, health, and disciplinary actions.
  • Process student enrollments, transfers, and withdrawals, ensuring all necessary documentation is completed and filed correctly.
  • Utilize and manage the school's Student Information System (SIS) and other relevant databases effectively.
  • Prepare and submit state and federal reports related to student data and school operations in a timely manner.
  • Provide administrative support to the Principal and other school staff, including scheduling, correspondence, and report generation.
  • Handle incoming communications (phone calls, emails, visitors) with professionalism and efficiency, directing inquiries as appropriate.
  • Oversee general office operations, including supplies management, mail distribution, and maintaining an organized work environment.
  • Ensure compliance with all school, district, state, and federal policies regarding record keeping and data privacy.
  • Assist with planning and coordination of school events and activities as needed.

Required Skills

  • Proficiency in Student Information Systems (SIS) and other database management software.
  • Exceptional organizational and time management skills with a strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and integrity.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Office Management, or a related field.
  • Previous experience working in a school or educational setting.
  • Familiarity with North Carolina K-12 educational policies and reporting requirements.
  • Experience with PowerSchool SIS or similar school management platforms.
