Job Description
We are seeking a highly organized, proactive, and exceptionally skilled Secretary – Executive Assistance Professional to provide comprehensive administrative and secretarial support to our senior management team in the Priory, St. Ann area. This pivotal role requires a meticulous individual with a strong sense of responsibility, discretion, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities
- Manage and maintain executive calendars, including scheduling appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
- Act as a primary point of contact, screening and directing phone calls, emails, and visitors with professionalism and discretion.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and distributing relevant materials.
- Handle confidential information and documents with utmost discretion and integrity.
- Process expense reports, invoices, and other financial documentation in accordance with company policies.
- Maintain an organized filing system, both digital and physical, for quick retrieval of information.
- Assist with special projects and initiatives as assigned by the executive team, providing administrative and logistical support.
Required Skills
- Proven experience as an Executive Assistant, Secretary, or similar administrative role at a professional level.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Outstanding written and verbal communication skills in English.
- High level of discretion and ability to handle confidential information.
- Strong problem-solving abilities and proactive approach to tasks.
- Attention to detail and accuracy in all work performed.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Office Management, or a related field.
