Key Responsibilities

  • Provide comprehensive secretarial and administrative support to executives and various departments.
  • Manage and maintain executive calendars, schedule appointments, and coordinate meetings, including room bookings and refreshments.
  • Prepare, edit, and proofread correspondence, reports, presentations, and other documents with high accuracy.
  • Organize and maintain both physical and electronic filing systems, ensuring efficient retrieval of documents.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, directing queries appropriately.
  • Coordinate travel arrangements, accommodation, and itineraries for executives and staff.
  • Assist with office management duties, including ordering supplies, liaising with vendors, and ensuring the smooth operation of office equipment.
  • Manage confidential information with the utmost discretion and professionalism.

Required Skills

  • Minimum of 3 years of experience in a secretarial or administrative assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an advanced level.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills in English and French.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of professionalism and discretion when handling sensitive information.

Preferred Qualifications

  • Diploma or Degree in Office Management, Business Administration, or a related field.
  • Experience with enterprise resource planning (ERP) systems or project management software.
