Job Description

Zuri Zanzibar is seeking a diligent and exceptionally organized Part-Time Shipping Schedule Coordinator to join our dedicated and vibrant operations team. In this pivotal role, you will be instrumental in ensuring the seamless and timely flow of goods, critical supplies, and premium materials essential to the daily operation and unparalleled guest experience of our luxury resort. This isn’t just about managing logistics; it’s about meticulously planning, tracking, and coordinating every single shipment, from perishable goods for our world-class restaurants to bespoke amenities for our exquisite villas, all while upholding the stringent high standards that define the Zuri Zanzibar brand.

Operating in a unique and dynamic island environment, you will navigate the inherent complexities of inbound and outbound logistics, making this role both challenging and profoundly rewarding. You will be directly responsible for proactively liaising with a diverse and extensive network of local and international suppliers, trusted freight forwarders, and key customs agents, ensuring all documentation is accurate, complete, and fully compliant with all local and international regulations. Your day-to-day will involve developing, implementing, and rigorously maintaining precise shipping schedules, continuously monitoring the real-time status of deliveries, and adeptly resolving any potential delays or unforeseen issues that may arise with minimal impact on resort operations.

Furthermore, you will play a crucial role in supporting our comprehensive inventory management efforts, ensuring that all necessary supplies are available exactly when and where they are needed, thereby minimizing disruptions and optimizing stock levels to prevent both overstocking and critical shortages. Exceptional attention to detail, proactive problem-solving capabilities, and superior communication skills are paramount for success in this role. Key Responsibilities

  • Develop, implement, and maintain comprehensive shipping and receiving schedules for all resort supplies and materials.
  • Coordinate effectively with local and international suppliers, vendors, and freight forwarders to ensure timely and cost-effective deliveries.
  • Track and monitor all incoming and outgoing shipments rigorously, providing regular and accurate updates to relevant internal departments.
  • Prepare and process all necessary shipping documentation, including customs declarations, commercial invoices, and packing lists, ensuring full compliance with local and international regulations.
  • Communicate proactively and transparently with internal departments (e.g., Food & Beverage, Housekeeping, Maintenance) regarding delivery statuses and any potential delays.
  • Efficiently and effectively resolve any shipping-related discrepancies, damages, or issues that may arise.
  • Assist with comprehensive inventory control and stock level management, ensuring proper storage and distribution of all received goods.
  • Maintain meticulously organized records of all shipping activities, receipts, and expenditures for auditing purposes.
  • Identify and propose opportunities for continuous process improvements within shipping and logistics operations.
  • Adhere strictly to all health, safety, and security protocols related to receiving, handling, and storing goods.

Required Skills

  • Proven experience (minimum of 3 years) in logistics, shipping coordination, or supply chain management.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in logistics software and advanced command of Microsoft Office Suite (especially Excel).
  • Excellent written and verbal communication skills in both English and Swahili.
  • Ability to work effectively both independently and collaboratively as part of a diverse team in a fast-paced environment.
  • Strong problem-solving aptitude with a proactive and solutions-oriented approach to unforeseen challenges.
  • Solid knowledge of customs procedures and international shipping regulations.
  • Demonstrated ability to manage multiple tasks concurrently and prioritize effectively under pressure.

Preferred Qualifications

  • Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a closely related field.
  • Previous experience working within the hospitality industry, particularly luxury resorts.
  • Familiarity with modern inventory management systems.
  • Basic understanding of accounting principles related to invoices and expenditure tracking.
  • Valid driver's license for light vehicle operations (if applicable for local errands and transport).
