Key Responsibilities

  • Develop, implement, and manage comprehensive staff schedules for various departments, ensuring adequate coverage and adherence to operational requirements.
  • Process and manage shift change requests, vacation leave, sick leave, and other time-off requests in accordance with company policies and labor laws.
  • Communicate schedules effectively and proactively to all relevant staff members, ensuring clarity and addressing any questions or concerns.
  • Proactively identify and resolve scheduling conflicts, shortfalls, and emergencies, making real-time adjustments as necessary.
  • Maintain accurate and up-to-date records of staff availability, qualifications, attendance, and scheduling history.
  • Collaborate closely with department managers and team leads to understand staffing needs, operational demands, and performance metrics.
  • Generate regular reports on staffing levels, absenteeism, and scheduling efficiency to aid in strategic decision-making.
  • Assist in the onboarding process by ensuring new hires are correctly integrated into existing schedules.
  • Ensure all scheduling practices comply with company guidelines, industry regulations, and Nigerian labor laws.

Required Skills

  • Proven experience in staff scheduling or a similar administrative coordination role.
  • Exceptional organizational and time management skills with meticulous attention to detail.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with scheduling software.
  • Excellent verbal and written communication skills, with the ability to interact professionally with all levels of staff.
  • Demonstrated problem-solving abilities and a proactive approach to addressing challenges.
  • Ability to work effectively under pressure and manage multiple priorities in a fast-paced environment.
  • High level of integrity, discretion, and confidentiality.

Preferred Qualifications

  • A Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Familiarity with local labor laws and regulations in Imo State, Nigeria.
  • Experience using advanced scheduling software or HRIS systems.
  • Previous experience in a human resources or staffing agency environment.
