Job Description
We are seeking a highly organized, compassionate, and detail-oriented Student Enrollment Assistant to join our administrative team. In this pivotal role, you will be the first point of contact for prospective families, guiding them through the enrollment process from initial inquiry to successful registration. You will play a crucial part in maintaining accurate student records, facilitating communication between the school and parents, and ensuring a seamless and welcoming experience for all new and returning students. This position requires someone who is not only adept at administrative tasks but also possesses a genuine passion for education and a commitment to supporting the school’s mission. You will handle sensitive information with discretion, manage enrollment inquiries efficiently, and collaborate closely with teachers and leadership to ensure all enrollment targets are met and school policies are upheld. Key Responsibilities
- Manage and respond to all enrollment inquiries via phone, email, and in-person, providing comprehensive information about the school's programs, policies, and procedures.
- Guide prospective parents through the application and registration process, assisting with form completion, document collection, and fee payments.
- Maintain accurate and up-to-date student enrollment records, including personal details, medical information, attendance, and academic progress, using the school's administrative software.
- Coordinate and schedule parent interviews, school tours, and orientation sessions for new students and their families.
- Prepare enrollment reports, statistics, and presentations for school management to support strategic planning and decision-making.
- Collaborate with the school principal, teachers, and support staff to ensure a smooth transition for new students and to address any enrollment-related concerns.
- Assist with the development and distribution of enrollment-related communications, including welcome packets, newsletters, and informational brochures.
- Ensure compliance with all school and Ministry of Education regulations regarding student enrollment and data privacy.
- Provide general administrative support to the school office as needed, contributing to a positive and efficient working environment.
Required Skills
- Proven experience in an administrative or customer service role, preferably within an educational setting.
- Exceptional organizational skills and meticulous attention to detail.
- Strong verbal and written communication skills with a professional and friendly demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new administrative software.
- Ability to handle confidential information with discretion and maintain a high level of professionalism.
- Excellent interpersonal skills with the ability to build rapport with parents, students, and staff.
- Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Associate's degree or higher in Business Administration, Education, or a related field.
- Familiarity with student information systems (SIS) or similar database management tools.
- Experience working in a primary or infant school setting in Jamaica.
