Job Description
This role will be the backbone of our studio’s operational efficiency, ensuring that every project, resource, and team member is where they need to be, when they need to be there. As a Studio Scheduling Assistant with flexible hours, you will play a crucial part in coordinating our diverse creative projects, from initial concept to final delivery. We’re looking for someone highly organised, proactive, and exceptionally detail-oriented to manage complex schedules, allocate resources effectively, and communicate seamlessly across various departments. You’ll be instrumental in ensuring projects stay on track and within designated timelines, contributing directly to our reputation for excellence and timely delivery.
Your daily tasks will involve a blend of administrative precision and collaborative problem-solving. You’ll be responsible for maintaining our master schedule, meticulously booking studio space, equipment, and talent, and anticipating potential conflicts or delays to resolve them before they impact our workflow. Key Responsibilities
- Develop, maintain, and update comprehensive studio schedules for all ongoing projects.
- Coordinate the booking of studio spaces, equipment, and external talent (e.g., photographers, models, voice artists).
- Proactively identify and resolve scheduling conflicts or potential bottlenecks.
- Communicate schedule changes and updates effectively to all relevant team members and stakeholders.
- Assist in resource allocation, ensuring optimal utilization of studio assets and personnel.
- Maintain accurate records of project timelines, deadlines, and resource usage.
- Act as the primary point of contact for all scheduling-related inquiries.
- Prepare and distribute daily, weekly, and monthly schedule reports.
- Collaborate with project managers and team leads to understand project requirements and priorities.
- Support general studio administration tasks as needed.
Required Skills
- Proven experience in a scheduling, administrative, or coordination role.
- Exceptional organizational and time-management skills.
- High proficiency in scheduling software (e.g., Google Calendar, Microsoft Outlook, specific industry tools).
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Problem-solving attitude with the ability to manage competing priorities.
