Job Description

Zanzibar Island Safaris is seeking a diligent and customer-focused Telephone Switchboard Attendant to join our vibrant team. This pivotal role is the voice of our company, the first point of contact for our valued clients, partners, and internal staff. Operating from our central office in Stone Town, you will be instrumental in managing all incoming and outgoing calls, ensuring efficient routing, and providing essential information about our tours, bookings, and services, especially those related to experiences like the Nakupenda Sandbank.

Key Responsibilities

  • Operate a multi-line telephone switchboard to answer, screen, and forward calls promptly and courteously.
  • Provide accurate information to callers regarding company services, tour packages, booking procedures, and general inquiries.
  • Route calls to the appropriate department or individual, ensuring seamless internal communication.
  • Take messages accurately and relay them to the intended recipients in a timely manner.
  • Maintain an organized and updated directory of staff, departments, and frequently requested information.
  • Assist with basic administrative tasks such as data entry, scheduling appointments, and managing correspondence as needed.
  • Handle customer complaints or difficult callers with patience, professionalism, and a problem-solving attitude.
  • Monitor and manage communication channels, including email inquiries, when the switchboard is less active.
  • Ensure the reception area is tidy and welcoming, if combining with front desk duties, reflecting our brand's hospitality.
  • Collaborate with other team members to ensure a cohesive and efficient operational flow, supporting tour coordination and guest services.

Required Skills

  • Proven experience operating a multi-line telephone system or switchboard.
  • Exceptional verbal communication and interpersonal skills.
  • Strong active listening skills and clear, articulate speaking voice.
  • Proficiency in English; knowledge of Swahili is highly advantageous.
  • Excellent organizational skills and meticulous attention to detail.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Customer service-oriented mindset with a polite and professional demeanor.
  • Basic computer literacy (e.g., email, word processing, spreadsheet applications).

Preferred Qualifications

  • Previous experience in the hospitality, tourism, or travel industry, especially in a customer-facing role.
  • Ability to speak additional languages (e.g., German, French, Italian) due to our diverse international clientele.
  • Familiarity with CRM systems, booking software, or reservation platforms.
  • High school diploma or equivalent; further education in hospitality or communications is a plus.
