Job Description

Are you a highly organized individual with a keen eye for detail and a passion for supporting humanitarian efforts? Médecins Sans Frontières (MSF) is seeking a dedicated Ticketing Assistant to join our dynamic team in Nangade, Cabo Delgado Province. This crucial part-time role, offering flexible hours, is designed to support the seamless travel and logistics for our staff and volunteers working on the front lines of humanitarian aid. As a Ticketing Assistant, you will be instrumental in ensuring that our medical and support teams can move efficiently and safely, enabling them to deliver critical services to communities in need. You will be responsible for managing all aspects of travel arrangements, from booking flights and ground transportation to handling changes and cancellations, all while adhering to MSF’s stringent travel policies and budget guidelines. This position requires someone who can work autonomously, prioritize tasks effectively, and maintain clear communication with various stakeholders, including travel agencies, MSF staff, and local partners. Your contribution will directly impact our ability to operate effectively and save lives in challenging environments. Key Responsibilities

  • Coordinate and book flights, road transport, and other travel arrangements for MSF staff and visitors, adhering to organizational travel policies and budget limits.
  • Manage and process travel requests, including modifications, cancellations, and rebooking, efficiently and accurately.
  • Liaise directly with travel agencies, airlines, and local transport providers to secure the best routes and rates for domestic and international travel.
  • Prepare and issue comprehensive travel documents, including tickets, boarding passes, detailed itineraries, and provide visa support letters when required.
  • Maintain accurate and up-to-date records of all travel bookings, expenditures, and staff travel profiles in the designated systems.
  • Provide timely travel-related information and support to staff, including travel advisories, security updates, and emergency contacts.
  • Assist in the reconciliation of travel expenses and invoices with the finance department to ensure proper accounting and budget control.
  • Ensure compliance with safety and security protocols related to staff movement within the region and beyond.

Required Skills

  • Proven experience in an administrative or travel coordination role, preferably within an NGO or similar organization (minimum 1 year).
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously and meet tight deadlines.
  • High level of accuracy and meticulous attention to detail in booking, record-keeping, and document preparation.
  • Strong communication and interpersonal skills, both written and verbal, in Portuguese and English are essential.
  • Proficiency in using booking systems, Microsoft Office Suite (Word, Excel, Outlook), and general office software.
  • Ability to work independently with minimal supervision and also effectively as part of a diverse, multicultural team.
  • Demonstrated problem-solving attitude and ability to handle last-minute changes or emergencies effectively and calmly.
  • Capacity to work under pressure in a challenging and dynamic humanitarian environment.

Preferred Qualifications

  • Previous experience working in the humanitarian sector or for an international NGO in a similar capacity.
  • Familiarity with local travel routes, customs, and transport providers in Cabo Delgado Province, Mozambique.
  • Knowledge of global travel regulations and visa application processes for various nationalities.
  • Experience with travel management software or enterprise resource planning (ERP) systems is a plus.
  • Ability to communicate in local languages of Cabo Delgado (e.g., Macua, Mwani, Kimwani) is a strong asset.
