Your primary focus will be to facilitate the seamless flow of documents through the translation lifecycle. This involves preparing source documents for external translation vendors, ensuring consistency in terminology, assisting with quality assurance checks on translated materials, and managing our growing translation memory and terminology databases. You will collaborate closely with our technical writing, engineering, marketing, and product development teams, acting as a crucial link in maintaining the integrity and quality of our global communications.

Key Responsibilities

  • Assist with the preparation and organization of various technical and corporate documents for translation, ensuring adherence to established guidelines and formats.
  • Coordinate with internal technical writing, engineering, and marketing teams to clarify source content and address any translation-related queries.
  • Liaise with external translation vendors to manage project timelines, deliver source files, and receive translated content.
  • Perform initial quality assurance checks on translated materials, focusing on completeness, formatting, and adherence to company terminology and style guides.
  • Maintain and update translation memory (TM) databases and terminology glossaries to ensure consistency across all localized content.
  • Support the creation and revision of localization style guides and process documentation.
  • Assist in the final formatting and desktop publishing (DTP) of localized documents for various platforms and outputs.
  • Identify and suggest opportunities for process improvements within the documentation and translation workflow to enhance efficiency and quality.
  • Participate in team meetings to provide updates on project status and discuss ongoing challenges or solutions.

Required Skills

  • Excellent written and verbal communication skills in English, with a keen eye for grammar, punctuation, and style.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation, data management, and correspondence.
  • Strong organizational skills and an unwavering attention to detail, capable of managing multiple tasks simultaneously.
  • Ability to quickly learn and adapt to new software, tools, and technical concepts.
  • Basic understanding of documentation processes, content management, or the general principles of translation and localization.
  • Comfortable working with technical information and complex concepts.

Preferred Qualifications

  • Previous experience (e.g., internship, part-time role) in a documentation, administrative support, technical writing support, or translation-related role.
  • Familiarity with Translation Management Systems (TMS) or Computer-Assisted Translation (CAT) tools (e.g., Trados, MemoQ, Smartling).
  • Fluency or advanced proficiency in a second language relevant to Ballard's global markets (e.g., German, Chinese, Japanese, Korean).
  • Post-secondary education or a degree/diploma in Linguistics, Technical Communication, Translation Studies, Communications, or a related field.
