As a Translation Support Clerk, you will primarily provide comprehensive administrative and logistical support to our dedicated translation and interpretation department. Your day-to-day tasks will involve the meticulous preparation of various documents for translation, including patient forms, educational materials, and internal policies, ensuring they are correctly formatted and ready for linguistic processing. You will be responsible for the organized storage and efficient retrieval of translated materials, maintaining a robust system for all language assets. This role also includes the crucial task of scheduling interpretation appointments for patients and healthcare providers, requiring precise coordination and sensitivity to urgent needs. Furthermore, you will perform accurate data entry into our specialized language services management systems, tracking requests, progress, and completion to maintain up-to-date records.

You will act as a key liaison, facilitating smooth communication between healthcare professionals, patients, and our network of external translation and interpretation vendors. This includes managing incoming requests, clarifying project scopes, and ensuring that all linguistic support requests are processed efficiently and accurately from initiation to delivery. Key Responsibilities

  • Provide comprehensive administrative support to the translation and interpretation services department.
  • Prepare documents for translation, ensuring proper formatting and adherence to guidelines.
  • Organize, file, and manage translated materials and linguistic assets efficiently.
  • Schedule interpretation appointments for patients and healthcare professionals, managing calendars and communications.
  • Perform accurate data entry into language services management systems, tracking requests and project progress.
  • Act as a liaison between VCH staff, patients, and external translation/interpretation vendors.
  • Assist in maintaining quality control checks on translated documents.
  • Handle incoming inquiries and redirect them appropriately.
  • Support the team with general office duties, including photocopying, scanning, and correspondence.
  • Contribute to continuous improvement initiatives within the language services department.

Required Skills

  • High school diploma or equivalent.
