Job Description

Are you a highly organized individual with a keen eye for detail and a passion for ensuring smooth operations? Uroa Bay Beach Resort is seeking a dedicated and proactive Transport Fleet Assistant to join our team on a part-time basis. This pivotal role is based in the vibrant Jozani Forest Area, providing critical support to our transport department which manages a diverse fleet of vehicles. From guest transfers and excursion logistics to staff movements and supply chain support, our fleet is essential to our daily success.

As a Transport Fleet Assistant, you will play a crucial role in the day-to-day administration and operational efficiency of our vehicle fleet. Your responsibilities will range from maintaining accurate records and scheduling maintenance to supporting drivers and managing fuel logs. This position requires someone who is not only administratively strong but also possesses a basic understanding of vehicle mechanics and logistics. You will be instrumental in upholding our high standards of safety, reliability, and service excellence, ensuring that our fleet operates optimally to meet the demands of a busy resort environment. You will be the linchpin in ensuring our vehicles are always roadworthy, compliant, and ready to serve, directly contributing to the smooth flow of our resort’s operations and the satisfaction of our guests and employees alike. Key Responsibilities

  • Assist in the scheduling and coordination of vehicle maintenance and repairs, ensuring minimal disruption to operations and adherence to service schedules.
  • Maintain comprehensive and accurate records of vehicle usage, fuel consumption, mileage, service history, and driver logs.
  • Monitor vehicle licensing, insurance, and compliance with all relevant local and national transport regulations.
  • Support drivers with daily tasks, including dispatching, route planning, manifest preparation, and resolving minor operational issues encountered on the road.
  • Manage fuel card allocation, meticulously track fuel expenditures, and reconcile fuel reports on a regular basis to ensure cost efficiency.
  • Conduct regular visual inspections of vehicles to ensure they meet safety and cleanliness standards before and after use.
  • Assist in the procurement of vehicle parts, lubricants, and other supplies, managing inventory and initiating reorders as needed.
  • Process transport-related invoices, expense reports, and petty cash requisitions, ensuring accuracy and timely submission for payment.
  • Communicate effectively and professionally with drivers, various resort departments, and external service providers (e.g., mechanics, insurance agents).
  • Contribute to the implementation of best practices for fleet management, road safety protocols, and environmental sustainability initiatives.
  • Perform other administrative duties as required to support the transport department and ensure its efficient functioning.

Required Skills

  • Proven experience of at least 6 months in an administrative or logistics support role, preferably within transport or fleet management.
  • Excellent organizational and time management skills with strong attention to detail and ability to multitask effectively.
  • Proficiency in using office software (e.g., Microsoft Office Suite – Word, Excel, Outlook) for record-keeping and communication.
  • Strong verbal and written communication skills in both English and Swahili.
  • Ability to work independently with minimal supervision and as part of a cohesive team in a fast-paced environment.
  • Basic understanding of vehicle maintenance, operational procedures, and road safety regulations.
  • Valid Tanzanian driving license (Class B minimum) is a significant advantage.

Preferred Qualifications

  • Diploma or Certificate in Logistics, Fleet Management, Business Administration, or a related field.
  • Previous experience working within the hospitality or tourism sector, especially in a resort setting.
  • Familiarity with fleet management software or GPS tracking systems.
  • Demonstrable knowledge of local transportation routes and regulations in Zanzibar.
