Key Responsibilities
- Manage and maintain accurate transportation records, including vehicle logs, driver schedules, and dispatch reports, ensuring data integrity.
- Assist with the coordination of vehicle maintenance, servicing, and repairs, guaranteeing fleet readiness and operational compliance.
- Communicate effectively and professionally with drivers, dispatchers, and clients regarding delivery schedules, updates, and timely resolution of potential issues.
- Prepare and meticulously process invoices, purchase orders, and other financial documents pertinent to transport operations.
- Handle general office administration tasks such as comprehensive filing, precise data entry, answering incoming calls, and managing correspondence.
- Monitor fuel consumption and vehicle performance data, preparing insightful reports for analysis and operational optimization.
- Ensure strict compliance with all relevant transportation regulations, safety standards, and established company policies.
- Support the transport manager with various ad-hoc administrative duties and projects as required, demonstrating adaptability and initiative.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for daily administrative tasks.
- Excellent organizational and time management skills with the ability to prioritize effectively.
- Strong verbal and written communication abilities to interact clearly with all stakeholders.
