Key Responsibilities

  • Coordinate and book all domestic and international travel arrangements, including flights, hotels, car rentals, and ground transportation, for employees and clients.
  • Manage and optimize travel itineraries, ensuring cost-effectiveness, comfort, and compliance with company travel policies.
  • Act as the primary point of contact for all travel-related inquiries, providing timely and accurate information and support.
  • Process travel expense reports, reconcile invoices, and maintain detailed records of all travel-related expenditures.
  • Negotiate with airlines, hotels, and other travel vendors to secure preferential rates and services.
  • Monitor and manage travel budgets, identifying opportunities for cost savings and efficiency improvements.
  • Stay informed about current travel advisories, visa requirements, and global health and safety protocols to ensure traveler safety and compliance.
  • Develop and update company travel policies and procedures, ensuring clear communication and adherence.
  • Assist with travel insurance arrangements and provide support in case of travel emergencies or disruptions.
  • Prepare comprehensive travel reports and analytics for management review.

Required Skills

  • Minimum of 2 years of experience in a travel coordination or administrative role with travel responsibilities.
  • Proficiency in using online travel booking systems and global distribution systems (GDS) such as Amadeus, Sabre, or Galileo (preferred).
  • Exceptional organizational and time management skills, with the ability to manage multiple complex itineraries simultaneously.
  • Strong communication and interpersonal skills, capable of interacting effectively with staff, clients, and vendors.
  • Demonstrated ability to negotiate effectively and build strong vendor relationships.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
  • Excellent problem-solving abilities and a proactive approach to anticipating travel needs.

Preferred Qualifications

  • Diploma or certification in Tourism, Hospitality Management, or a related field.
  • Experience with corporate travel management software.
  • Knowledge of international travel regulations and visa application processes.
  • Bilingualism (English and French) is considered an asset for serving diverse clientele.
  • Prior experience working with flexible scheduling models.
