Key Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and maintain digital files and records, ensuring easy accessibility and confidentiality.
  • Handle incoming and outgoing communications, including emails and phone calls, professionally and efficiently.
  • Conduct research, compile data, and prepare summaries or reports as needed.
  • Assist with special projects and initiatives, providing administrative support from conception to completion.
  • Process invoices, expense reports, and other financial documents with accuracy.
  • Coordinate logistics for virtual meetings, ensuring all participants have necessary information and tools.
  • Perform data entry and maintain databases with up-to-date information.
  • Anticipate administrative needs and proactively address them to support team efficiency.
  • Act as a liaison between various departments and external stakeholders as required.

Required Skills

  • Proven experience as a Virtual Assistant or Administrative Assistant (2+ years).
  • Exceptional written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • High level of discretion and confidentiality.
