Key Responsibilities
- Manage and maintain complex executive calendars, including scheduling meetings, appointments, and coordinating travel arrangements (both virtual and physical for executives).
- Prepare and format professional documents, presentations, reports, and spreadsheets using MS Office Suite (Word, Excel, PowerPoint) to a high standard.
- Coordinate and organize virtual and in-person meetings, including agenda preparation, accurate minute-taking, and diligent follow-up on action items.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Draft, proofread, and manage email correspondence, memos, and other communications on behalf of executives, ensuring clarity and accuracy.
- Conduct thorough research, compile relevant data, and prepare concise summaries for executive review and decision-making.
- Assist with various project management tasks, including tracking deadlines, monitoring progress, and coordinating with different departments.
- Process expense reports, manage invoices, and assist with basic financial administration duties.
- Act as a primary point of contact for internal and external stakeholders, filtering and prioritizing communications to executives.
- Develop and maintain an efficient and accessible electronic filing system for critical documents and information.
- Proactively identify potential administrative challenges and offer effective, timely solutions to maintain workflow efficiency.
- Assist with special projects and initiatives as assigned by executives, demonstrating flexibility and adaptability.
Required Skills
- Proven experience (minimum 3 years) as an Executive Assistant, Virtual Assistant, or similar senior administrative support role.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and virtual collaboration tools.
- Superior organizational and time management skills with the ability to prioritize tasks and manage multiple projects effectively.
- Excellent written and verbal communication skills in English, with a strong command of grammar and spelling.
- High level of discretion, integrity, and ability to handle confidential and sensitive information.
- Proactive problem-solver with strong critical thinking abilities and meticulous attention to detail.
- Ability to work independently and manage a significant workload in a remote environment.
- Demonstrated ability to anticipate needs and provide proactive support.
