Key Responsibilities
- Assist lead wedding planners in all stages of event planning, from concept development to execution.
- Manage client communication, providing regular updates and addressing inquiries promptly and professionally.
- Coordinate with vendors (caterers, florists, photographers, entertainers, venues) to ensure services align with client expectations and contracts.
- Develop and maintain detailed wedding timelines, checklists, and budget tracking documents.
- Oversee event logistics, including venue setup, decor arrangements, guest management, and itinerary adherence on the wedding day.
- Conduct site visits and walkthroughs to ensure all details are in place and potential issues are addressed proactively.
- Assist with wedding day setup, breakdown, and troubleshooting any unforeseen challenges with grace and efficiency.
- Prepare comprehensive event briefs and schedules for all stakeholders.
- Maintain organized records of client preferences, contracts, and vendor information.
- Contribute creative ideas for themes, decor, and unique guest experiences.
Required Skills
- Minimum of 2 years of experience in event planning, hospitality, or a related field, with a focus on weddings.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Proven ability to manage multiple projects simultaneously under pressure.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a collaborative team.
- Creative flair and an understanding of current wedding trends and styles.
- Valid Kenyan driving license and ability to travel within Nairobi and surrounding areas.
Preferred Qualifications
- Bachelor’s degree in Hospitality Management, Event Planning, Marketing, or a related discipline.
- Certification in Event Planning or Project Management.
- Established network of local wedding vendors and venues in Nairobi.
- Experience with event management software (e.g., Aisle Planner, HoneyBook).
