Career.zycto is seeking a highly organized and detail-oriented Account Onboarding Aide to join our thriving team in Hokwe, Chokwe. This part-time role is crucial in ensuring a seamless and positive experience for our new clients as they begin their journey with us. As an Account Onboarding Aide, you will be the backbone of our client integration process, handling a variety of administrative and coordination tasks that ensure all necessary information is collected, processed, and filed accurately and efficiently. Your work will directly contribute to client satisfaction and the overall operational excellence of our company.

This position requires a proactive individual who can manage multiple priorities, communicate effectively, and maintain a high level of accuracy in a fast-paced environment. You will work closely with our Account Management and Sales teams, serving as a vital link between new clients and our internal departments. Key Responsibilities

  • Assist in the complete lifecycle of new client account setup, from initial data collection to system activation.
  • Verify and process client documentation, ensuring accuracy and compliance with internal policies and regulatory requirements.
  • Communicate professionally with new clients to request missing information or clarify details, both verbally and in writing.
  • Coordinate with internal departments (e.g., Sales, Operations, Finance) to facilitate smooth client transitions.
  • Maintain organized digital and physical client files, ensuring easy retrieval and adherence to data protection protocols.
  • Update client information in our CRM system and other relevant databases.
  • Prepare onboarding kits and welcome materials for new clients.
  • Generate regular reports on onboarding progress and status for management review.
  • Identify and suggest improvements to the onboarding process to enhance efficiency and client experience.
  • Provide general administrative support to the Account Management team as needed.

Required Skills

  • Minimum 1 year of experience in an administrative support, data entry, or customer service role.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills in Portuguese and English.
  • Ability to work independently and manage time effectively.
  • Demonstrated ability to handle confidential information with discretion.
  • High school diploma or equivalent.

Preferred Qualifications

  • Experience with CRM software (e.g., Salesforce, HubSpot).
  • Knowledge of local business regulations and compliance standards.
  • Familiarity with the professional services industry.
