Job Description
We are actively seeking a highly motivated and detail-oriented Reservation Agent to join our dedicated team at N1 Hotel Beitbridge. In this pivotal role, you will be the first point of contact for many of our guests, playing a crucial part in shaping their experience from the very beginning. You will be responsible for managing all aspects of the reservation process, from initial inquiry to final booking confirmation, ensuring accuracy and efficiency at every step. This position requires exceptional customer service skills, a friendly demeanor, and the ability to handle multiple tasks simultaneously in a fast-paced environment. The ideal candidate will possess a strong understanding of hotel operations, be proficient with reservation software, and demonstrate a proactive approach to guest satisfaction. You will engage with guests via phone, email, and in-person, providing comprehensive information about our hotel services, room types, and rates, and assisting them with their booking needs. Key Responsibilities
- Manage and process all reservation requests received through various channels (phone, email, online travel agencies, walk-ins) promptly and accurately.
- Provide detailed information about hotel facilities, services, room availability, and rates to potential guests.
- Maintain up-to-date knowledge of room types, pricing, promotions, and special packages.
- Handle guest inquiries, complaints, and special requests with professionalism and efficiency, ensuring guest satisfaction.
- Process cancellations, modifications, and refunds according to hotel policies.
- Collaborate closely with the front desk, housekeeping, and sales teams to ensure seamless guest experiences and accurate room allocations.
- Utilize property management systems (PMS) and reservation software effectively for all booking operations.
- Generate daily, weekly, and monthly reservation reports as required by management.
- Conduct follow-up calls or emails to confirm bookings and gather feedback.
- Assist with other administrative duties as needed to support hotel operations.
Required Skills
- Proven experience in a reservation or front office role, preferably within the hospitality industry.
- Excellent verbal and written communication skills in English.
- Strong customer service orientation with a pleasant and professional telephone manner.
- Proficiency in using hotel reservation software and Property Management Systems (PMS).
- Exceptional organizational skills and attention to detail.
- Ability to work effectively under pressure and manage multiple priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Problem-solving abilities and a proactive approach to guest needs.
Preferred Qualifications
- A diploma or degree in Hospitality Management, Tourism, or a related field.
- Familiarity with local attractions and an ability to provide recommendations to guests.
- Multilingual abilities (e.g., Shona, Ndebele) are a significant advantage.
- Previous experience with a specific PMS like Opera, Fidelio, or similar systems.
