Key Responsibilities

  • Manage and organize office files, documents, and records, both physical and digital, ensuring easy retrieval and confidentiality.
  • Handle incoming and outgoing communications, including answering phones, directing calls, managing emails, and distributing mail.
  • Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies.
  • Assist in scheduling appointments, meetings, and travel arrangements for staff members as required.
  • Perform data entry, generate reports, and prepare presentations using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ensure the office environment is clean, tidy, and well-maintained, coordinating with maintenance services when necessary.
  • Provide administrative support to various departments, assisting with project tasks and deadlines.
  • Welcome and assist visitors, ensuring a professional and hospitable reception.
  • Support the planning and execution of office events, workshops, or meetings.
  • Operate and maintain office equipment such as printers, scanners, and photocopiers.

Required Skills

  • Proven experience in an office support or administrative role.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management abilities with a keen eye for detail.
  • Ability to prioritize tasks and work independently with minimal supervision.

Preferred Qualifications

  • Minimum of an OND or HND in Business Administration, Office Technology Management, or a related field.
