Job Description

We are seeking a highly organised and proactive Solicitor Assistant to join a thriving legal practice, supporting their Corporate and Family Law departments through Career.zycto. This is a pivotal role for an individual looking to expand their legal experience across diverse practice areas. You will provide comprehensive administrative and secretarial support to Solicitors and Legal Executives, ensuring the smooth and efficient running of their caseloads. Your daily tasks will be varied, ranging from document preparation and client communication to case management and legal research. This role offers a fantastic opportunity to immerse yourself in the day-to-day operations of a busy law firm, gaining valuable insights into both corporate transactions and sensitive family law matters. The ideal candidate will possess a strong foundational understanding of legal procedures, exceptional attention to detail, and a commitment to maintaining client confidentiality and professional standards. You will be an integral part of a supportive team, contributing directly to the successful delivery of legal services.

Key Responsibilities

  • Prepare, format, and proofread legal documents, correspondence, and presentations for corporate and family law cases.
  • Manage and organise client files, both physical and electronic, ensuring all documentation is accurate and up-to-date.
  • Draft routine correspondence, emails, and forms under the guidance of solicitors.
  • Assist with client onboarding processes, including conflict checks and identity verification.
  • Schedule and coordinate meetings, appointments, and court hearings, managing solicitor diaries effectively.
  • Liaise with clients, counsel, courts, and third parties, handling enquiries professionally and efficiently.
  • Conduct preliminary legal research and gather relevant information and documents as required.
  • Process invoices, expenses, and manage client billing queries.
  • Provide general administrative support, including answering phones, filing, scanning, and photocopying.
  • Maintain strict confidentiality and adhere to all data protection and professional conduct regulations.

Required Skills

  • Minimum of 18 months experience in a legal administrative, secretarial, or assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills with impeccable grammar and spelling.
  • Strong organisational and time management abilities, with a keen eye for detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Demonstrated understanding of legal terminology and procedures.
  • Proactive and adaptable approach to workload management.
  • High level of professionalism and discretion.

Preferred Qualifications

  • A legal secretarial qualification (e.g., CILEx, Pitman) or equivalent.
  • Previous experience specifically within corporate law, family law, or both.
  • Familiarity with case management software (e.g., Clio, LexisNexis Visualfiles).
  • Experience in client relationship management within a legal context.
