Key Responsibilities
- Provide high-level administrative support to senior executives, including managing complex calendars, scheduling appointments, and coordinating meetings.
- Prepare, edit, and format confidential documents, presentations, reports, and correspondence.
- Arrange and coordinate detailed travel plans, itineraries, and accommodations for executives.
- Manage incoming and outgoing communications, including phone calls, emails, and postal mail, exercising discretion and judgment.
- Organize and maintain filing systems, both digital and physical, ensuring information is readily accessible and secure.
- Process expense reports, invoices, and other financial documentation accurately and efficiently.
- Act as a liaison between executives and internal/external stakeholders, fostering effective communication.
- Assist with special projects and initiatives as assigned by the executive team, requiring research, data compilation, and presentation development.
- Order and maintain office supplies and manage office equipment to ensure continuous functionality.
Required Skills
- Minimum 2 years of experience in an executive secretarial or administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an advanced level.
- Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
- High degree of discretion and ability to handle confidential information with integrity.
