Key Responsibilities

  • Lead the end-to-end planning and execution of conferences, workshops, and seminars, ensuring all logistical and content requirements are met.
  • Develop comprehensive project plans, timelines, and budgets, meticulously tracking progress and managing expenditures to stay within allocated resources.
  • Identify, evaluate, and negotiate with venues, vendors (catering, AV, printing, etc.), and suppliers to secure the best services and rates.
  • Formulate and implement marketing and communication strategies for each event, working with internal teams to maximize attendee registration and engagement.
  • Recruit, confirm, and manage speakers, panelists, and presenters, ensuring they adhere to deadlines and content guidelines.
  • Coordinate on-site event logistics, including registration, setup, technical support, and troubleshooting, to ensure a smooth and professional experience.
  • Conduct post-event evaluations, gather feedback, analyze key performance indicators, and prepare reports to identify areas for improvement and future strategy.
  • Manage relationships with sponsors, partners, and key stakeholders, ensuring their objectives are met and fostering long-term collaborations.
  • Oversee content development, ensuring program relevance, quality, and alignment with target audience interests and industry trends.

Required Skills

  • Minimum of 3 years of proven experience in conference or event management.
  • Exceptional project management and organizational skills, with a keen eye for detail.
  • Strong budget management and financial acumen.
  • Excellent communication, negotiation, and interpersonal abilities.
  • Proficiency in event management software and CRM systems.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
  • Demonstrated ability to manage multiple projects simultaneously under tight deadlines.

Preferred Qualifications

  • Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field.
  • Experience with international events or working with diverse global audiences.
  • Proficiency in German and English (written and spoken).
  • Certification in Event Management (e.g., CMP – Certified Meeting Professional).
