As a Remote Estate Planning Administrator, you will play a pivotal role in ensuring the smooth and efficient operation of our estate planning services. You will be responsible for providing comprehensive administrative support to our solicitors and legal executives, assisting with all aspects of wills, probate, lasting powers of attorney, and trust administration. This role demands meticulous attention to detail, a proactive approach, and excellent communication skills to liaise effectively with clients, beneficiaries, and internal teams. Key Responsibilities

  • Provide comprehensive administrative support to Private Client solicitors and legal executives.
  • Draft, format, and prepare legal documents, correspondence, and reports related to wills, probate, lasting powers of attorney, and trusts.
  • Manage client files, ensuring all documentation is accurately filed, up-to-date, and compliant with data protection regulations.
  • Handle client enquiries via phone and email with professionalism and empathy, directing complex matters to fee earners.
  • Assist with the onboarding process for new clients, including conflict checks and identity verification.
  • Manage diaries, schedule appointments, and coordinate meetings, including virtual client consultations.
  • Process expenses, invoices, and ensure accurate billing procedures are followed.
  • Conduct basic legal research and information gathering as required by fee earners.
  • Maintain strict confidentiality and adhere to all internal policies and SRA regulations.
  • Proactively manage and prioritise workload to meet deadlines and support team objectives.

Required Skills

  • Proven administrative experience, preferably within a legal or financial services environment.
  • Exceptional organisational and time management skills with the ability to prioritise tasks effectively.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Meticulous attention to detail and accuracy.
  • Ability to work independently and as part of a remote team.
  • Strong understanding of client confidentiality and data protection principles.
  • Proactive attitude with the ability to anticipate needs and take initiative.

Preferred Qualifications

  • Previous experience specifically within Private Client, Wills, Trusts, or Probate administration.
  • Experience with legal practice management software (e.g., LexisNexis, Proclaim).
  • A relevant administrative or legal qualification (e.g., CILEx, Legal Secretary Diploma).
  • Familiarity with SRA (Solicitors Regulation Authority) compliance standards.
  • Demonstrable experience in a remote working environment with self-motivation.
